How to Use Invoice Generator
- 1Choose where your business is (US, UK, Canada, Australia, India, Pakistan or elsewhere) so the currency, tax name, rates, paper size and title are set for you, and pick Invoice or Quote/Estimate.
- 2Fill in your business name, address, tax number and logo. Leave "Remember my business details" ticked and they're there next time.
- 3Add your client's details, then your items: a description, quantity, price and tax rate for each line. In the US, pick a state to fill in its sales tax rate.
- 4Add a discount, a deposit already paid, how to pay you, a payment link and any notes, and choose a style, colour and font.
- 5Check the live preview and the "Before you send it" list, then download the PDF or print it. "New invoice" starts the next one with the next number.
Frequently Asked Questions
What must an invoice include?
In the UK, GOV.UK lists a unique invoice number, your name or business name, address and contact details, the customer's name and address, a description of what you're charging for, the supply date, the invoice date, the amounts, any VAT, and the total owed. A VAT invoice also needs your VAT number, each line's VAT rate and the total VAT, and invoice numbers must run in sequence. The generator's checklist flags anything missing for your country.
How is VAT or sales tax worked out on the invoice?
Each line's tax is its amount times its rate, and the totals are shown by rate. For a UK invoice with a £2,400 website and 3 months of hosting at £45, all at 20% VAT, the subtotal is £2,535, VAT is £507 and the total is £3,042. Tick "Prices include VAT" if your prices already include it, and the VAT is taken out instead: £120 including 20% VAT is £100 plus £20 VAT.
Does a discount come off before or after tax?
Before. The discount is spread across the lines and tax is charged on the discounted price, which is how HMRC says VAT works. A 10% discount on £1,000 of work at 20% VAT gives £900 plus £180 VAT, a total of £1,080, not £1,080 minus a further 10%.
How should I number my invoices?
Use a unique number that runs in sequence, such as INV-0001, INV-0002. HMRC requires sequential numbers on VAT invoices, and it makes your records easy to follow everywhere. The generator keeps your prefix and padding, so after INV-0042 the next invoice is INV-0043.
What's the difference between an invoice and a quote or estimate?
A quote (called an estimate in the US and Canada) sets out what you'll charge before the work, usually with a date it's valid until. An invoice asks for payment for work done or goods supplied. Switch the document to Quote or Estimate and the title, numbering and dates change to match.
Is my invoice data uploaded anywhere?
No. The invoice, your logo and the PDF are all made in your browser, and your draft and business details are saved only in this browser's storage. Nothing is sent to our servers. Use Clear to remove them.
When is an invoice due if I don't set a date?
In the UK, if no payment date is agreed, payment is due within 30 days of the invoice or of delivery, whichever is later, and between businesses you can then claim statutory interest of 8% plus the Bank of England base rate. Setting clear payment terms, such as 14 or 30 days, avoids any doubt.
